Nether Market Vendors - The Netherworld Masque

The Nether Market is where the merchants, artisans, creators, and collectors of the Netherworld gather to share their wares with creatures from every corner of myth, legend, folklore, fantasy, horror, and pop culture.

Throughout the evening, guests will browse the Market while completing the Vendor Scavenger Hunt, discovering handcrafted goods, artwork, apparel, accessories, collectibles, home décor, and other extraordinary treasures.

We're looking for merchants whose creativity, craftsmanship, and presentation help bring the mystique of the Netherworld to life while creating an unforgettable experience for every guest who wanders the Market.

Merchant Details

Each space is $150

Spaces will be located indoors, positioned in the hallway and lobby, outside the ballrooms.

Included with your Merchant Space

  • One designated 10' x 8' merchant space
  • One 6-foot table
  • Two chairs
  • Listing on the Fantasticarium website
  • Participation in the Vendor Scavenger Hunt
  • Opportunity to be featured on Fantasticarium social media accounts
  • Early shopping access for Veil and Shadow guests before General Admission

Merchant Tribute to the Court

Donate a raffle prize or cosplay contest award valued at the required $30 minimum (or greater), and receive $25 off your merchant space. Donated prizes help support our contests and raffles while introducing your business to even more guests throughout the evening.

*Multiple donations do not warrant multiple discounts. It is one (1) $25 discount per table, not per donation. Multiple donations are to the discretion of the merchant.

Early Access Shopping

Veil and Shadow ticket holders receive exclusive early access to the Nether Market for 30 minutes before General Admission.

Merchants are encouraged to create optional VIP-exclusive promotions, limited-edition items, event specials, first-access products, or other creative incentives to reward early shoppers while generating excitement around their booth.

Merchant Expectations

Approved merchants agree to:

  • Promote the Netherworld Masque on social media at least eight (8) times before the event.
  • Keep their merchant space staffed during all published Market hours.
  • Maintain a clean, organized, and welcoming booth.
  • Conduct themselves professionally and respectfully toward guests, fellow merchants, volunteers, and staff.
  • Follow all Fantasticarium and venue policies.
  • Notify Fantasticarium immediately if an emergency requires an early departure.

Merchant Admission

Merchant spaces do not include admission to the Netherworld Masque.

Approved merchants may purchase discounted event tickets after their application has been accepted and booth payment has been received.

Merchants choosing to attend the Masque must ensure their merchant space remains staffed throughout all published Market hours. Fantasticarium is not responsible for monitoring unattended booths.

Vendor Policies

Fantasticarium reserves the right to refuse or revoke merchant participation at its sole discretion if merchandise, conduct, or presentation is determined to be inconsistent with the event's standards or policies.

That gives you a little flexibility without having to list every possible issue.

What is the Netherworld Masque?

The Netherworld Masque is Fantasticarium's immersive Halloween fantasy masquerade, where guests can celebrate monsters, mythology, fantasy, folklore, horror, cosplay, and gothic elegance through an evening of dancing, immersive entertainment, themed drinks, vendors, contests, and community.

Is this event 21+?

Yes.

All attendees must be 21 years of age or older and present a valid government-issued photo ID upon entry.

Do I have to roleplay?

No.

Guests choose their own level of immersion.

Some guests enjoy portraying characters, while others simply attend to dance, socialize, and experience the atmosphere.

Is cosplay required?

No.

Cosplay is encouraged but not required.

Formal attire is required for all guests.

Guests are encouraged to interpret monsters, legends, mythology, fantasy, and Halloween however they choose.

Are masks required?

No.

Masks are optional but encouraged.

What kinds of costumes fit the theme?

Guests may attend as:

The goal is creativity rather than strict accuracy.

I don't know how to ballroom dance. Can I still come?

Absolutely.

No experience is required.

Court members will teach dances throughout the evening, and guests are welcome to participate or simply observe.

What are the Nether Court Dance Instructionals?

Select ticket tiers include optional dance workshops held prior to the event. Add-ons are optional for this as well.

These sessions allow guests to become familiar with featured dances before the masquerade.

Dates and locations will be announced closer to the event.

What is the Nether Market?

The Nether Market features artists, vendors, creators, and specialty merchandise celebrating fantasy, cosplay, horror, Halloween, and geek culture.

What is Early Access?

Veil and Shadow ticket holders receive 30-minute early access beginning at 3:00 PM.

During this time guests may:

  • browse vendors before general admission
  • enjoy a quieter atmosphere
  • participate in early immersive interactions
  • early access to exclusive merch and promos offered by vendors
  • line up first for Cocktail Hour

What is the Nether Tavern Experience?

During designated hours, guests may enjoy our themed self-serve Nether Tavern featuring specialty cocktails and mocktails inspired by fantasy and folklore.

Guests can customize their beverages using our interactive garnish station.

Alcohol service is monitored by staff. Limitations may be enforced via our Demon Apothecary (security).

Will food be served?

Mist & Bonded Mist tickets include dessert.

Specter, Veil, and Shadow tiers include dinner and dessert.

Menu selections will be released closer to the event.

Guests purchasing dinner tiers will receive menu information and dietary request forms before the event.

What if I have food allergies?

Fantasticarium will make every reasonable effort to accommodate dietary restrictions.

However, because food is prepared by third-party caterers, we cannot guarantee that every allergy or dietary need can be accommodated.

Will there be photographers?

Yes.

Professional photographers will be present throughout the evening.

Certain ticket tiers include a complimentary one-shot portrait.

Guests may also purchase additional portraits and photo sessions.

Can I take my own photos?

Absolutely.

Personal photography and video are encouraged unless otherwise requested during the event.

Will the event be photographed?

Yes.

By attending, guests acknowledge that photography and videography will occur.

Images may be used for future promotional purposes.

Can I leave and re-enter?

Yes.

So long as you have checked in and received your Netherworld wristband. It must be kept on at all times, visibly.

Is parking available?

Yes.

Free parking is available at the Sunrise Civic Center parking lot and garage.

Carpooling and rideshare services are encouraged.

Will alcohol be available?

Yes.

Cocktail hour will be a cash bar.

Self serve is included in your event ticket, with limitations. (Open bar until we say no.)

Alcohol is available only to guests 21+ with valid ID.

Staff reserve the right to refuse service.

Will there be seating?

Yes.

Reserved seating depends on ticket tier.

General Admission includes access to cocktail tables and additional seating located throughout the ballroom and event space.

Terms & Policies

Refund Policy

Tickets are generally non-refundable.

If you are unable to attend, please contact Fantasticarium before the event. While refunds are not guaranteed, we may review requests on a case-by-case basis.

If Fantasticarium cancels the event, ticket holders will receive a partial refund. Any refund amount and method will be communicated at that time.

Tickets may not be exchanged for future events unless explicitly authorized by Fantasticarium.

Admission Policy

Admission requires:

  • Valid ticket to The Netherworld Masque presented by Fantasticarium.
  • Valid government-issued photo ID
  • Age 21+

Guests who arrive intoxicated and/or exhibiting inappropriate behavior may be denied entry without refund.

Code of Conduct

All guests are expected to:

  • Treat others respectfully.
  • Follow staff and venue instructions.
  • Refrain from harassment, discrimination, or disruptive behavior.
  • Respect personal boundaries and consent.
  • Respect and care for the space.

Guests who violate the Code of Conduct may be removed without refund.

Costume & Prop Policy

Fantasy costumes and cosplay are encouraged.

However:

  • No functional weapons.
  • Prop weapons must comply with venue rules.
  • Props will be inspected by security.
  • Fantasticarium cannot store prohibited items.
  • All prohibited items/denied props must be returned to vehicle.

Guests who refuse inspection may be denied entry.

Photography & Media Release

By entering the event, guests consent to being photographed or recorded.

Fantasticarium may use event photography or video for promotional, marketing, and archival purposes without additional compensation.

Alcohol Policy

Alcohol is available only to guests who are 21 years of age or older with valid identification.

Fantasticarium reserves the right to refuse alcohol service to any guest at any time.

Outside alcohol is prohibited.

Nether Tavern & Alcohol Policy

  • The Nether Tavern is available only to guests who are 21 years of age or older with valid government-issued photo identification.
  • Alcoholic beverages are pre-crafted by the Demon Apothecary and are self-served by guests.
  • Fantasticarium staff, Court members, volunteers, and security monitor beverage service throughout the evening.
  • Guests may be asked to present identification at any time when receiving alcoholic beverages.
  • Fantasticarium reserves the right to limit, refuse, or discontinue alcohol service to any guest, at its sole discretion.
  • Guests who appear visibly intoxicated, provide alcohol to another guest, behave irresponsibly, or fail to follow staff instructions may be denied additional service and may be removed from the event without refund.
  • Mocktails, water, and other non-alcoholic beverages will also be available throughout designated service hours.

Outside Food & Beverage

Outside food and beverages are not permitted unless approved in advance by the Fantasticarium team for documented medical needs.

Event Changes

Programming, performers, vendors, menu offerings, and schedules are subject to change without notice.

Event Cancellation Due to Unforeseen Circumstances

If the event is canceled, postponed, or significantly altered due to circumstances beyond Fantasticarium's reasonable control—including but not limited to severe weather, natural disasters, venue emergencies, government orders, public health emergencies, or other unforeseen events—we will communicate any updates, rescheduling information, or applicable refund options as soon as reasonably possible.

Weather Policy: Netherworld Masque will proceed rain or shine whenever it is safe to do so. In the event of severe weather or a declared emergency that affects the safety of guests or the operation of the venue, Fantasticarium will communicate any schedule changes, postponements, or cancellations through our official website, email, and social media channels.

Accessibility

Fantasticarium is committed to creating a welcoming and inclusive experience for all guests.

The Signature Grand Ballrooms at the Sunrise Civic Center provide ADA-accessible entrances, restrooms, and accessible parking.

If you require accommodations to fully enjoy the event, we kindly ask that you contact us as early as possible before the event date so we can work with you to make appropriate arrangements.

Possible accommodations may include:

  • wheelchair-accessible seating
  • mobility assistance planning
  • reserved accessible seating
  • dietary accommodation requests
  • sensory considerations where reasonably possible

While we will make every reasonable effort to accommodate requests, some accommodations may depend upon venue limitations or advance notice.
